Synergist-Outlook 2-way calendar synchronisation

This feature allows users to see resource bookings from both their Synergist and Outlook calendars whether they are viewing in Synergist or Outlook. Please note that this does not include anything that is not a booking but can be viewed in Synergist dependent on various settings, for example, Tasks. 

Viewing bookings in Synergist:

  • Regular Synergist bookings exactly as they always do.  They are (subject to any settings restrictions):
    • Viewable
    • Editable
    • Deletable
  • Outlook bookings that have been replicated in Synergist are slightly different.
    • They are only in the calendar for viewing purposes and are therefore read-only.
    • Users are unable to edit or delete these bookings.
    • These bookings are filed against the same client, job and phase.  Right clicking a booking and filtered by client, job or phase will filter the calendar to only show bookings that have been replicated from Outlook.

Viewing bookings in Outlook:

  • Regular Outlook bookings behave exactly as they always do.  They are (subject to and restrictions):
    • Viewable.
    • Editable.
    • Deletable
  • Synergist bookings that have been replicated in Outlook are slightly different.
    • Although Outlook's user interface will allow users to make changes to these bookings, they are only in the calendar for viewing purposes and are therefore to be treated as so,
    • Editing or deleting a Synergist booking in the Outlook calendar willnot affect the original booking in the Synergist calendar.
    • In the above case, if the booking has since been edited or deleted from withing Synergist, the Outlook booking will be updtaed to match the state of the booking as it is now shown in Synergist.

Setup

In System Parameters there is a Calendar syncing panel where you choose between no syncing to an external calendar, Outlook (Office365) or Google.  Selecting Outlook prompts you to enter your Outlook domain which prompts authentication to confirm the connection.  This must be done by a user in the domain with Outlook admin rights.

You will be asked to accept a permissions request:

 

Once connected you must choose which Synergist companies you wish to sync Synergist bookings from into Outllok.

Click Authorise Outlook Calendar.  No bookings are synced at this point.  Click the start synch button to display a warning:

Once started the Calendar syncing panel will display a button with red text "Stop sync".  This allows you to suspend the sync process but does not remove the setip information.

An administrator can use this same System parameters interface to unauthorise Synergist from Outlook - synchronisation will end immediately this is done and all the calendar sync setupo information is removed.
