Synergist-Google 2 way calendar synchronisation

Bookings made in Google calendar can be viewed in Synergist as resource bookings, and similarly resource bookings made in Synergist can be viewed in Google calendar.  Bookings should only be edited in the calendar they are originally created in, these changes will then be synchronised to the other calendar.

Setup

In System Parameters there is a Calendar syncing panel where you choose between no syncing to an external calendar, Outlook (Office365) or Google.  Selecting Google prompts you for your Google domain, and Google Workspace admin email.

Before you click Authorise Google Calendar you must first authorise the Synergist application in your Google Workspace:

  • Go to - https://admin.google.com/ac/owl/domainwidedelegation
  • Click the "Add new" button
  • Enter the following Client ID – “103293133297356889952”
  • Enter the following OAuth scopes separately:
    • “https://www.googleapis.com/auth/calendar”
    • “https://www.googleapis.com/auth/admin.directory.user.readonly”
  • Click the "AUTHORISE" button

Now return to System parameters in Synergist and click the Authorise Google Calendar button.

Once the connection process completes you will be able to choose which Synergist companies you wish to synchronise bookings from.

No bookings have been synchronised yet, you need to click the Start sync button to display a warning:

Once started the Calendar syncing panel will display a button with red text "Stop sync".  This allows you to suspend the sync process but does not remove the setip information.

An administrator can use this same System parameters interface to unauthorise Synergist from Google Calendar- synchronisation will end immediately this is done and all the calendar sync setupo information is removed.

Usage

  • Incoming bookings being synced from Google Calendar into Synergist will automatically be placed in the first company of the corresponding staff resource.
  • Once setup, any bookings already in Resource bookings, under the specified companies, will automatically be synced to the corresponding user’s Google Calendar.
  • When a new booking is created in a user’s Google Calendar, it will appear in Synergist in Resource bookings against the corresponding staff resource. This includes recurring events.
  • Bookings appearing in Synergist’s Resource bookings, that originated from Google Calendar are purely there in a read-only manner. They cannot be edited, moved or deleted from within Resource bookings.
  • Bookings appearing in Google Calendar, that originated from Synergist’s Resource bookings, can (but should not) be edited and deleted from Google Calendar (this is because Synergist cannot prevent a Google Calendar user from doing this), however should this be done accidently, these changes will be reversed at the next time that the booking is updated in Synergist.
  • When a booking created in Google Calendar is edited in Google Calendar, these changes will be reflected on the corresponding Synergist booking.
  • When a booking created in Google Calendar is deleted from Google Calendar, the corresponding Synergist booking will be deleted from Resource bookings and will no longer appear in Synergist.
  • When a booking created in Synergist’s Resource bookings is edited in Synergist, the change will be reflected on the corresponding booking in Google Calendar.
  • When a booking created in Synergist’s Resource bookings is deleted in Synergist, the corresponding booking will be deleted from Google Calendar and will no longer appear there.
