Teams are set up in File maintenance and represent a group of people. There are several reasons to do this, usually for reporting and simplification of adminstration.
There are two types of team in Synergist - Handler Teams and Resource Teams.
Handler Team
Handlers in Synergist are users who can be assigned ownership of jobs and phases. Any user can be a handler, membership of a handler team is optional. When a handler is set on a job, if they are a member of a handler team the team on the job will populate by default to the handler's team, otherwise the team field will remain blank. You can set the team manually by clicking on the dropdown and selecting from the list of handler teams displayed. This will not affect any previously selected handler.
Handler Teams are used in financial dashboards and reports as a way of grouping jobs together by team.
Resource Team
A resource team is a group of users who are not handlers. Resource teams do not appear in the team list displayed in jobs / phases. They are normally timesheet-only users and are typically set up to normalise cost & charge rates, and to limit the list of charge codes available to users during timesheet entry.
Resource Teams are used in resource booking and estimating as a way of assigning work to teams. The capacity dashboard also uses staff teams to group data together by team.
Note that a team can also be set to Handler & Resource if you do not need to to segregate users and wish to have a team of users that is available in all processes.
Team Setup
Teams are created in File Maintenance under Users & resource > Team
Details
Most fields are self-explanatory. Nominal codes should only be filled in if you intend to analyse sales & purchases based on the handler team assigned to jobs.
Currency for time costing can be used to override normal estimate / timesheet cost rates for members of a team - select a currency, tick the Team level costing box and enter a rate (in the chosen currency). Any estimate assigned to a member of this team and any timesheet submitted by a member of this team will use this rate in the chosen currency.
Email address is used in certain alerts and notifications associated with handler teams.
Job prefix allows automatic prefixing of job numbers for jobs assigned to this handler team. Note that if the job team is changed the prefix is not automatically updated, you will need to use the Actions button on the job and select Update job prefix.
Skills
This tab allows you to define the charge codes that are available to members of this team when used in association with the company setting "Charge codes are resource skills restricted" found on the switches tab in company settings. Instead of setting up individual matrices of charge codes on every member of a team you can set up a single matrix that will apply to the whole team. Note that if you add an additional charge code to an individual member of a team, this will also appear in their list of available charge codes.
Adding a skill to a team can also be used to override the standard cost rates used for estimating / timesheets for the selected charge codes.
These Team Skills can also be viewed from within a resource by going to the team skills tab:
